Privacy Policy
At Ontaym, protecting your privacy is one of our core principles. Ontaym brings small groups of people who do not know each other into a room together, so the information it holds about you is mostly about that: which Meets you asked for, which you hold a place in, and whether you turned up. We collect only what running those Meets requires. We never sell your personal information. By using Ontaym, you agree to the practices described in this Privacy Policy.
1. Information We Collect
Account information: when you sign in using Google, we may receive your display name, profile photo, email address and authentication provider - Ontaym does not require you to create a separate username or password. Profile information: anything you choose to add, such as a photo and a short description of yourself.
Meet information: which Meets you asked Ontaym to open (the kind of Meet, the city and the date), which you expressed interest in, which you took a place in or joined the waitlist for, when you cancelled, and whether you arrived. Section 5A explains what is done with that and who can see it.
Calendar information: if you connect your calendar, Ontaym may access your availability (free/busy status), calendar synchronization information, and the entries Ontaym itself creates for your Meets - we do not read the titles, descriptions, notes, or other contents of your unrelated calendar events.
Technical information: device and browser type, approximate region derived from your IP address, and logs we keep to run the service securely.
2. Audio & Video Recordings
Ontaym does not record Meets. There is no audio or video recording of a gathering, no archive of one, and no way for another member to make one through Ontaym.
An earlier version of Ontaym let a user attach a short voice or video message to a meeting they were organizing. Users no longer organize meetings, that feature has no entry point, and any media captured under it has been deleted on the same 24-hour schedule that applied at the time.
Ontaym does not access your microphone or camera in the background, and asks for them only if you actively choose to attach a photo.
3. AI Transcriptions
Ontaym does not transcribe anything. Because there are no recordings (Section 2), there is nothing to transcribe, and no transcript of any gathering is created, stored or shown to anyone.
Nothing you write or say on Ontaym is used to train public AI models.
4. Location Data
Ontaym asks for your location only if you choose to use it - for example to see which city's Meets are nearest to you. It is used at that moment and not kept.
Ontaym does not continuously track your location, does not create or store a location history, does not record where you were when you checked in to a Meet beyond the fact that you checked in, and never uses your location for advertising purposes.
Declining the permission does not stop you using Ontaym: you pick your city yourself instead.
5. Contacts
Ontaym does not read your contacts and does not ask for permission to.
The permission existed to help you invite people to a meeting you were organizing. You no longer organize meetings - Ontaym forms the group - so there is nothing for your address book to be used for, and it is not uploaded, matched, stored or used to suggest people to you.
If you granted this permission to an older version of Ontaym, you can revoke it at any time through your device or browser settings.
5A. Meets
Taking a place in a Meet creates information that did not exist before: that you intend to be at a particular place, at a particular time, with people you have not met. We treat it accordingly.
What we record when you take part:
- Which Meets you expressed interest in, took a place in, joined the waitlist for, or cancelled;
- Whether you arrived, from the check-in at the door;
- Late cancellations and no-shows, kept as a rolling record so that a seat other people planned around is not held by someone who never comes;
- Any rating or report you leave afterwards.
Who sees what:
- Other people at the Meet see what you have chosen to show on your profile - typically your display name and photo. They do not see your email address, your phone number, your other Meets, or your history;
- The host of that Meet sees the list of people expected, so they can welcome you by name and check people in;
- The venue is told a group is coming and how many. We do not hand the venue a list of names;
- Your no-show record is not shown to other members. It is used by us to decide how many places you can hold.
The venue address of a confirmed Meet is released to you as a member. It is the address of a business expecting a group, not anyone's home, but please do not republish it - a Meet is a small group, not a public event.
Reports. If you report someone, we see what you wrote and who you reported. We do not tell the person you reported who raised it. We may use a report to remove someone from a Meet or from Ontaym, and we will keep the report as long as we need it for that purpose.
6. What We Never Collect
Ontaym does not read the contents of your private calendar events, read your contacts, continuously monitor your location, record or transcribe Meets, access your microphone or camera in the background, sell your personal information, or share your personal information with advertisers.
Ontaym does not ask you for, or store, sensitive characteristics - your religion, health, politics, ethnicity or sexual orientation - and does not form Meet groups on the basis of any of them.
7. How We Use Your Information
We use your information only to: decide which Meets to open and where, based on what people have asked for; form and confirm the group; give you the venue address for a Meet you hold a place in; synchronize a confirmed Meet with your calendar if you have connected one; send reminders and notifications; run membership and billing; improve reliability and performance; detect abuse, fraud and security threats; and provide customer support.
We do not use your personal information for advertising, and we do not sell it.
8. Sharing Information
Other people at a Meet may see your display name and profile photo, and whatever else you have chosen to put on your profile. They cannot see your email address, your phone number, your calendar, the other Meets you are in, your account settings, your no-show record, or any unrelated personal information. Section 5A covers this in full.
A venue receiving a confirmed Meet is told that a group is coming and how many people to expect. It is not given a list of names.
We share information only with service providers who need it to operate Ontaym: authentication, cloud infrastructure, email and push delivery, mapping, and payment.
Payments are handled by Freemius, Inc., our merchant of record. Freemius receives the information it needs to take the payment - your email address, your billing details and your card, which goes to Freemius and never to us. Ontaym is told that a subscription started, renewed or ended, and for which account. Freemius processes that data under its own privacy policy.
We do not sell your personal information, and we do not share it with advertisers.
9. Data Retention
Different types of data are retained for different periods:
- Your record of a Meet - that you asked for it, held a place, and whether you arrived - is kept while your account exists, because it is what lets us decide how many places you can hold and which Meets to open next;
- Your attendance record used for holding places rolls forward: only recent behaviour counts against you;
- Account and profile information is retained until you delete the account;
- Reports are kept as long as we need them to act on the person reported and to recognise a pattern;
- Billing records are kept for as long as tax and accounting law requires;
- Security and server logs are retained for up to 90 days.
There are no recordings or transcripts to retain - see Sections 2 and 3.
10. Account Deletion
You may delete your account at any time. Deleting your account permanently removes your profile information, your Meet requests, your places and waitlist entries, your attendance record and your personal settings, and gives up any place you are holding in a future Meet so that someone else can take it.
Some limited information may be retained where required by applicable law, for billing records, or where it is needed to act on a safety report - a report someone else made about you is not erased by deleting the account it was made about.
Deleting your account does not by itself cancel a paid membership taken out through a third-party store or through Freemius; cancel it there, or ask us and we will help.
11. Security
We protect your information using industry-standard security measures, including encrypted connections (HTTPS/TLS), secure authentication, access controls, encrypted data storage where appropriate, and continuous security monitoring. While no online service can guarantee absolute security, we continuously work to protect your information.
12. Children's Privacy
Ontaym is not intended for use by anyone under the age of 18. You must be at least 18 years old to create an account or use our services. We do not knowingly collect personal information from anyone under 18, and if we learn that we have collected such information, we will take steps to delete it.
13. International Data Transfers
Your information may be processed in countries where our trusted service providers operate. Where required by law, appropriate safeguards are implemented to protect your personal information.
14. Your Rights
Depending on your country or region, you may have the right to access your personal information, correct inaccurate information, request deletion of your data, export your information, withdraw consent where applicable, and object to certain types of processing.
15. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If significant changes are made, we will notify users through the application or website before the changes become effective.
